2. Scope and information collected
This policy covers the Ilesbus by Trek website, configurator, sales enquiries, vehicle briefs, orders and aftersales communications operated by Automotivate Fleet Solutions Limited. Depending on how you interact with us, we may collect your name, business details, address, telephone number, email address, vehicle requirements, configuration choices and relevant correspondence. If live chat is introduced on the public site in future, this policy will be updated before that happens to cover what that service collects.
Where we have not received your details from you directly, we obtain business contact information from publicly available sources, such as Companies House, Traffic Commissioner operator licence records and company websites. We use it to contact businesses about relevant passenger vehicles under our legitimate interests, as described in our legitimate interests assessment.
3. How information is used
Information may be used to respond to your enquiry, prepare or fulfil an order, provide aftersales care, maintain appropriate business records and meet legal obligations. Where the law permits, relevant customer communications may also be sent; you can opt out of marketing at any time.
If you make a sales or configurator enquiry, we may also send you occasional Ilesbus by Trek updates about similar vehicles and services unless you tick the box on the enquiry form to opt out; every update includes an unsubscribe link. Warranty enquiries are not used for marketing. Ilesbus by Trek marketing emails are sent under a single “Ilesbus by Trek updates” list covering model news, launches, aftersales information and invitations. If you join this list, we record your email address, when and where you joined, and the wording shown to you, so we can send these updates and maintain an appropriate consent record.
Our marketing emails are sent using HubSpot. They contain a small tracking image and tracked links, which tell us whether an email was opened, which links were clicked and when. This is recorded against your contact record so we can understand which updates are useful, avoid sending irrelevant emails and keep our list accurate. You can prevent open tracking by not loading images in your email client, and you can object to this tracking at any time by contacting sales@ilesbusbytrek.com or by unsubscribing.
4. Lawful reasons for processing
Depending on the circumstances, processing may be necessary to take requested steps before a contract, perform a contract, meet a legal obligation, pursue proportionate legitimate business interests, or act with your consent.
5. Sharing and security
Information may be shared with appropriate manufacturers, dealers, suppliers, delivery partners or professional service providers where necessary to answer an enquiry or fulfil an order. Access is limited to people who need the information for their work, with appropriate safeguards in place.
6. Retention
We review sales enquiries and vehicle briefs after 12 months and delete them when there is no continuing enquiry, customer relationship, transaction, legal claim or other justified business or legal need — the same approach used across the Automotivate group. Order and aftersales records may be retained for longer where required for warranty support, legal obligations or legitimate business records. Newsletter details are kept while you remain subscribed; a limited suppression and consent record may be retained after you unsubscribe so that we respect your choice and can demonstrate how your preferences were handled. Test, duplicate and spam submissions are deleted as soon as they are identified.
7. Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict personal information; object to certain processing; withdraw consent; and complain to the Information Commissioner's Office. You can unsubscribe from Ilesbus by Trek updates at any time by using the unsubscribe link in a marketing email or contacting sales@ilesbusbytrek.com.
